minsMe ("we", "us", or "our") operates the minsMe platform, including the web application at app.minsme.com, browser extensions, and related services (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.
1. Information We Collect
1.1 Account Information
When you create an account through Google or Microsoft OAuth, we receive and store:
- Name, email address, and profile picture
- OAuth provider identifier (Google ID or Microsoft ID)
- We do not receive or store your Google or Microsoft password
1.2 Meeting Content
When you use minsMe to record, transcribe, or process meetings, we collect:
- Audio and video recordings of meetings you choose to record
- Transcripts generated from your recordings
- AI-generated summaries, action items, and highlights
- Meeting metadata: date, time, duration, participant names, and meeting title
- Speaker identification data used to attribute transcript segments
1.3 Calendar Data
If you connect your Google Calendar or Microsoft Outlook, we access the following on a read-only basis:
- Meeting titles, dates, times, and durations
- Video conference join links
- Attendee names and email addresses
We will never modify, delete, or create events in your calendar. Calendar data is used solely to identify meetings for the auto-join feature.
1.4 Uploaded Files
When you upload audio or video files for transcription, we store the original file, the generated transcript, and any AI-generated summaries. Uploaded files are processed using the same pipeline as meeting recordings.
1.5 Automatically Collected Data
- IP address, browser type, operating system, and device information
- Usage data: pages visited, features used, timestamps, and interaction patterns
- Cookies and similar tracking technologies (see Section 7)
2. How We Use Your Information
We use the information we collect to:
- Provide and operate the Service — joining meetings, recording, transcribing, summarizing, and enabling AI-powered search and chat
- Improve the Service — analyzing usage patterns, diagnosing issues, and developing new features
- Communicate with you — sending meeting recaps, service updates, and responding to support requests
- Ensure security — detecting and preventing fraud, abuse, and unauthorized access
- Comply with legal obligations
3. AI and Third-Party Processing
minsMe uses third-party AI services to process your meeting content:
- Speech-to-text transcription — Your audio is sent to our transcription provider to generate text transcripts
- AI summarization and analysis — Transcript text is sent to AI language model providers to generate summaries, action items, and highlights
- Embeddings for AI search — Transcript segments are converted into vector representations and stored to enable the "Ask minsMe" chat feature
Important safeguards:
- We use API-based access with zero-retention configurations where available. Our AI providers are contractually prohibited from using your data to train their models.
- We do not use your meeting content, recordings, or transcripts to train our own AI models.
- AI-generated outputs (summaries, action items, chat responses) may be inaccurate or incomplete. You should verify important information independently.
4. How We Share Your Information
We do not sell your personal information. We share information only in these circumstances:
- With your workspace or team — Meeting recordings and transcripts are shared with members of your workspace according to your sharing settings
- Service providers — We use third-party providers for hosting, transcription, AI processing, email delivery, and analytics. These providers are bound by data processing agreements
- Legal requirements — We may disclose information to comply with applicable law, legal process, or government request
- Business transfers — In connection with a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity
5. Data Storage and Security
We implement industry-standard security measures to protect your data:
- Encryption in transit — All data is transmitted using TLS/SSL encryption
- Encryption at rest — Stored data is encrypted using AES-256 encryption
- Access controls — Access to user data is restricted to authorized personnel on a need-to-know basis
- Infrastructure security — Our services run on cloud infrastructure with network-level isolation
While we strive to protect your information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
6. Data Retention
- Active account — We retain your data for as long as your account is active and as needed to provide the Service
- Account deletion — When you delete your account, we delete your personal data, recordings, transcripts, summaries, and embeddings within 30 days. Backup copies may persist for up to an additional 30 days
- Individual recordings — You can delete individual recordings at any time. Deleted recordings and all associated data (transcript, summary, embeddings) are removed within 30 days
- Legal retention — We may retain certain information as required by law or for legitimate business purposes (e.g., fraud prevention)
7. Cookies and Tracking
We use cookies and similar technologies for:
- Essential cookies — Required for authentication and core functionality
- Analytics — To understand how the Service is used and improve the user experience
We do not use advertising cookies or sell data to advertisers. You can control cookie preferences through your browser settings.
8. Your Rights and Choices
Depending on your jurisdiction, you may have the following rights:
- Access — Request a copy of the personal data we hold about you
- Correction — Request correction of inaccurate data
- Deletion — Request deletion of your data
- Portability — Request your data in a structured, machine-readable format

If you are in the EEA, UK, or Switzerland, our lawful bases for processing include: performance of our contract with you (providing the Service), legitimate interests (improving the Service, security), and your consent (where applicable). You have the right to lodge a complaint with your local data protection authority.
9. Meeting Recording Consent
Recording laws vary by jurisdiction. Some jurisdictions require the consent of all participants before a meeting can be recorded. You are solely responsible for:
- Understanding and complying with all applicable recording and consent laws in your jurisdiction
- Informing all meeting participants that the meeting is being recorded
- Obtaining any required consent before recording begins
minsMe's bot identifies itself by name when joining a meeting to provide notice to participants. However, this does not replace your obligation to obtain proper consent where required by law.
10. Children's Privacy
The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
